Filing instructions - Web Forms

If you are new to Web Forms, we suggest that you print this page.

Step 1 - Enter the Web Forms secure Web site

Read the Disclaimer and, if you agree, click on I agree at the bottom of the page.

Enter the following information on the Web Forms Access Web page.

And

Note: Your Web Access Code contains letters which are identified with an asterisk "*" and must be entered in the same case as they appear on the correspondence you have received.

You must also answer the question "Are you filing on behalf of yourself?"

Are you filing on behalf of yourself?

If you are an employer or you are filing on behalf of your employer, answer Yes to this question.

If you are a payroll service bureau, lawyer, or an accountant filing on behalf of your client, answer No. You have to complete the Transmitter information section so that we can contact you if we have questions about the return. You will be able to authenticate with your own Business Number to file your clients' returns.

  • Click on the "Continue" link to enter the secure Web Forms site. Error messages and correction instructions will be displayed if you have not completed the authentication page correctly.

Step 2 - Web Forms access cont'd

Account Number

  • You are presented with the account number that was used to authenticate and have the option to change it to an alternate account number that you are filing for:

Slip type Selection

  • Use the drop down menu to choose the appropriate slip type for the Information return you are filing.

What type of return are you filing?

  • Indicate whether you are filing an original or amended return. If you are filing slips that you have not yet submitted to the CRA, select Original. If you would like to correct or cancel a slip you have already submitted to the CRA, select Amended.
    • For amended slips, enter all data that has not changed and all the new data.
    • For cancelled slips, enter all of the data you had previously reported.

These amended or cancelled slips will replace the original slips on file.

When completing the amended summary, include only the totals from the amended slips.

Note: Error messages and correction instructions will be displayed if the account number is not valid* or does not match the return type selected.

*A valid account number consisting of one of the following:

  • A valid BN RP (T4,  T4A, T4RSP, T4RIF, T4E, T4A-NR) (999999999RP0001);
  • A valid BN RZ (T5, T5008, T5007, T5018,) (999999999RZ0001);
  • A valid Trust (T3) (T99999999);
  • A valid NR4 (NR) (NRx999999);

Step 3 - Payer Information Screen

If you answered yes to the question "Are you filing on behalf of yourself?" the payer Information screen is separated into the following 2 sections:

Payer Information section

The filer is required to provide:

  • Tax Year;
  • Account Number;
  • Payer name;
  • Street Address;
  • City;
  • Province;
  • Country;
  • Postal code.

The following fields are optional:

  • Transmitter Number;
  • Care of.

Person to contact in regards to this return Section

The filer is required to provide:

  • Name;
  • Area Code;
  • Phone Number
  • Language in which you wish to receive communications ** default set based on language of page**

The following fields are optional:

Extension

If you answered No to the question "Are you filing on behalf of yourself" the payer Information screen will include the following additional sections:

Transmitter Information section

The filer is required to provide:

  • Transmitter Name
  • Street Address
  • City
  • Province
  • Postal Code

The following field is optional:

  • Country

Person to contact regarding this return section

The filer is required to provide:

  • Name
  • Area Code
  • Telephone Number

The following fields are optional:

  • Extension
  • Contact e-mail address

Once completed you will need to use the "Continue" button to access the "Web Forms Slip Management Screen"

Step 4 - Web Forms Slip Management Screen

Completed Slips – A count is kept of the number of slips created up to a maximum of 50

New Slip – This option allows you to add a new slip to the return and will bring the Filer to a blank slip information page. Please note

  • When you originally access the Web Forms slip management screen this will be the only option available.
  • The "New Slip" Button will only be available if you have completed less than the limit of 50 slips. If you have saved slip number 50, the system will not present the "New slip" button as an option.
  • When the filer saves this slip, the system automatically calculates the Summary boxes and displays the summary screen.

Slips available for modification- a listing of each completed slip is presented to allow you to verify information and make changes if necessary.

Step 5 – Slip Information Screen

Creating a slip

You will need to choose the "New Slip" link found on the Web Forms - Slip Management screen, once selected you will access the Slip Information Screen.

The Slip Information screen will allow you to enter the required information for recipients. Fields for each slip type will match those as presented on paper slips. You will input the information for one slip at a time. The Slip Information Screen is broken into three categories:

  • Recipient Identification – This section is used to identify the recipient of the slip
  • Financial Information - This section is used to identify the financial transactions for the recipient. Specific fields will vary based on the type of return being filed.
  • Other Information - This area will not be applicable to all slip types. The boxes that apply to the slip type are pre-numbered within the drop down menu. You will enter the codes and amounts that apply to the recipient.

You are able to choose the following options at any time:

If you choose the return to Slip Management Page without saving link you will be returned to the Web Forms-Slip Management Screen any modifications made to the slip will be ignored.

 

The "Validate & Save" Button validates all the identification and financial information entered on each slip. If a discrepancy is detected an error message is displayed you will be prompted to correct all errors within the slip. If no errors are detected the slip is saved within the application and displayed in the completed slips drop down list.

Validating the Information

Once you click the "Validate & Save" button and the file has errors, warnings, or you have missed a mandatory field the following error message is displayed at the top of the slip:

Correcting Errors:

Now that the validation process has been run, the next step is to go through the return looking for any problems. There are two types of problems that will be indicated.

A Red X
Any Information that is found to be in error will be followed by this symbol. Any field in error must be corrected before the filer can continue. 

If you have missed any required fields, a message will be displayed asking you to verify that you have completed all the required fields. A red X will be placed beside any field that is required and has been missed The Web Forms application will not take you to the required field in question, so you will need to go through the form manually looking for any red X.

A Yellow Exclamation Point
Any questionable field will be followed by this symbol. These errors will not stop you from filing the return. You simply needs to review and verify the entry he has made. 

All errors will have an error number link below the field in question. When this error number is clicked it will take the client to the bottom of the web page to the appropriate error message. 

Re-Validate the Information

Once you have made all the necessary changes you must click the "Validate and Save" button once again to re-validate the newly entered information. If any errors or questionable fields are found again, you will need to verify / correct the information and click "Validate and Save" again. The filer will need to run the validation process until there are no errors or any questionable fields. Once the validation runs without error the slip will be saved and added to the slips available for modification list

Modifying a slip

Slips available for modification- once you have validated and saved a slip it will appear under this section as a clickable link. Once the link for a slip has been selected the filer will be returned to the slip information screen where the filer will be presented with saved version of the slip which will contain all of the entries the filer had previously filled in.

The screen will contain additional functionality which will allow the filer to:

Any modifications made to slip will be ignored and the filer will be returned to the slip management page

The Delete slip button is only available when a slip is chosen from the slips available for modification list.

Once selected you will be is presented with the Surname, First Name, recipient account number (SIN, BN etc), related to this slip to ensure that you have chosen the correct slip.

You will have the following options:

Yes – upon selecting "Yes" you are returned to the Slip Management page and the slip is removed from the slips available for modification list.

No – if you choose "No" you are returned to the Slip Management page and the slip is included in the slips available for modification list.

Summary Button - This button is grayed out until you have saved one slip, once a slip has been completed and saved the "Summary" Button is activated. Once the "Summary Button has been selected you will be directed to the Summary information screen.

Step 6 - Summary Information Screen

Summary of Financial information: This section is for entering all the financial information regarding amounts having been paid to CRA by the Filer. The actual layout and required fields will vary depending on form type.

Recalculate Summary – Once you have indicated the amount for remittances paid and selects the recalculate summary button a calculation will be completed which will indicate whether there is a balance due or overpayment.  

Note: **These calculations are based on what you have input and are not cross referenced versus what we have on file. Submitted returns are subject to our internal verification and validation processes.

Return to Slip management without saving - Any modifications made to the Summary will be ignored and you will be returned to the slip management page.

Submit this return - The next step is to submit the return to CRA for processing by clicking on the "Submit This Return" button located at the bottom of the Summary Page. If the return was successfully received, you will receive a Confirmation of Receipt Page within minutes.

Step 7 - Confirmation of Receipt Page

The confirmation of receipt page will include the Submission number, business number, name, taxation year and a confirmation of the receipt date and time for the submission. The page also has links to allow you to "View Printable Version of Your Return" and "File another Return".

Step 8 -Printing the Slips, Summary, and confirmation of receipt

'View Printable Version of Your Return' Button

When the ‘View Printable Version of Your Return' Button is selected you will be presented with the File Download option screen. You should choose the "Save" option and choose the appropriate path.

Once the file has been successfully downloaded select the "Open" button to access a PDF version of the return which is displayed in a new window. You will have the options to:

  • Print the return - The Confirmation of Receipt Screen is included with the printed return.
  • save the PDF version of the return - The Confirmation of Receipt Screen is included with the saved return.

Once the return is printed and saved the filer closes the PDF version you are returned to the Confirmation of Receipt Screen.

Step 9 - File another return

The "Yes" and "No" Option Buttons under File Another Return Button are activated once the 'View Printable Version of Your Return' Button has been selected.

Selecting the "Yes" Button; will return you to the Authentication Screen to start another session.

The filer must enter the BN and WAC to continue with the next session.

Selecting the "No" Button; will return you to the CRA home page.
